Privacy Statement

Who we are and purpose of this policy

This American Air Museum website consist of two parts:

  1. Information relating to the physical museum itself, housed at IWM Duxford, which is owned and managed by Imperial War Museums (IWM) and
  2. The American Air Museum in Britain fundraising organisation (AAMB), which is a separate entity from IWM, but which raises funds to support the American Air Museum at IWM Duxford

This Privacy Policy outlines how information collected via this website is kept by both the IWM and AAMB.

This privacy policy sets out how we (IWM and AAMB) collect, use and protect any information about you (personal information or personal data) which we may obtain in the course of our operations. Because IWM and AAMB are separate organisations and have responsibility for different types of data, we have split this policy into sections relating to each organisation.

However, for all personal information held by either organisation we undertake to:

  • Tell you about how your data is used, either at the time we collect it (if we collect it directly from you) or as soon as is practical afterwards (if we collect it from a third party).
  • Keep it securely and make it available only to those within the organisation who need to see it. Where we share data with other organisations, we will tell you first wherever possible (sometimes there may be legal reasons not to).
  • Where your data is processed by other organisations on our behalf, make sure that the processing is clearly defined, secure and governed by a contract.
  • Respect your rights over your personal data.
  • Inform you about major changes to this policy.

This policy is effective from starting 8 July 2022.

2. Responsibilities for data collected via this site

  1. Contributor Information: Data collected when you register to contribute information to the American Air Museum archive (via https://www.americanairmuseum.com/user/register)
    This information is the responsibility of Imperial War Museums.
  2. AAMB donor and legacy information: Data collected when you make a donation to the American Air Museum in Britain (via https://www.americanairmuseum.com/donate), American Air Museum in Britain membership data and data relating to legacies.
    This information is the responsibility of the American Air Museum in Britain fundraising organisation.

Contributor Information

IWM’s Data Protection Officer is Jon Card, the Executive Director of Collections and Governance, who manages IWM’s Information Governance team.

4. How your Contributor Information is managed

Your rights over your information

If you are an EU citizen or based in the EU, you have the right to:

  • Have a copy of the personal information IWM holds about you.
  • Correct inaccurate information or have incomplete information completed.
  • Have your data erased (‘right to be forgotten or ‘right to erasure’) in certain circumstances.
  • Restrict the processing of your personal information in certain circumstances.
  • Data portability – have your information supplied in a commonly used format and transmitted to another organisation.
  • Object to the processing of your personal information.
  • Object to automated decision making or profiling.

Where your information is stored

You information is stored on the IWM network and in the cloud. Both are based in the EEA. Information stored in the cloud on IWM’s behalf is protected by a contract.

How we collect your contributor information

Your contributor information is collected from the American Air Museum website when you login, register or contribute information.

How we use your contributor information

We use these details to maintain your account with us and to track any contributions you make to the American Air Museum website. Although we will not use your details to send out marketing information, we may on occasion contact you to inform you of any major changes that will affect your use of the site, including changes to this policy.

When you sign up to the American Air Museum website, you enter into a contract with us that governs your use of the site’s facilities. If you do not provide the data we cannot verify any information you provide to the site or ensure your use of the site is in accordance with our terms and conditions.

We may share your Personal Data for the purposes described in this Privacy Notice with:

  • With partners, suppliers, and sub-contractors
  • Credit Card Transactions, Electronic Fund Transfers, Payments by Check or Money Order and Online Financial Transactions. AAMB hires third parties to provide credit card, bank, payment and information processing services and order fulfilment services. If you choose to make an application for employment, make a donation online, by phone, through the mail or by other means, or make a purchase from our [donation page] we will share your personal information with our processing service providers.
  • Analytics and search engine providers that assist us in the improvement and optimisation of our Site
  • Trusted third-party companies and individuals
  • Other non-profits

How long we keep your contributor information

If you register as a contributor, your name and email address will need to be kept for as long as the information you have provided is online, so that we can track any rights to the information and verify its accuracy. You can ask for information to be removed by contacting us using the details in Section 3.

Opt-Out Policy:

If you would like to opt-out of receiving communications from AAMB, or if you do not wish for AAMB to share or exchange your Personal Information with any third party for fundraising or marketing purposes, please send a request via email to: [email protected], or by postal mail to: AAMB, Attention: Donor Services, PO Box 97055, Washington, DC 20090-7055. Please include your full name along with a description of the nature of your request.

How to Update, Change, or Review Your Personal Information:

AAMB wants your Personal Information to be accurate and complete. To update or change your Personal Information, send your previous and updated Personal Information by email to: [email protected], or call: 202-774-6495. Sharing of Personal Information by AAMB:

AAMB does not sell or rent any Personal Information to telemarketers or mailing list brokers. Periodically, we may share Personal Information, such as your name and mailing address, with specifically selected nonprofit organizations in “list exchanges” conducted by AAMB and these organizations for the purpose of enlisting potential new donors.

If you do not wish for AAMB to share or exchange your Personal Information with any third party for fundraising or marketing purposes, you may opt out at any time. Please include your full name and mailing address in your opt-out request.

AAMB may need to share Personal Information with third parties in limited circumstances. For example, the AAMB uses third-party vendors to provide certain administrative services on the American Air Museum website and in offline business operations. The Personal Information that you submit on the American Air Museum website may be provided to those approved vendors on a confidential basis so that they can provide services on our behalf.

We will require any approved vendor to whom we release your Personal Information to hold such information in strict confidence. While we believe these companies will treat your Personal information responsibly, we do not own or control them and cannot guarantee your privacy.

Where your information is stored

Your information is stored on the AAMB’s systems, which are based in the US, on the IWM network and in the cloud. IWM acts as a data processor for the AAMB.

AAMB undertakes to process all personal data of EU citizens and others based in the EU that has been submitted via this site in accordance with GDPR and UK Data Protection legislation requirements.

How we collect your AAMB donor, legacy and membership information

We collect your information when you submit it via the donation form on the American Air Museum website. We only collect the information required to process your donation.

We use the information you have submitted to process your donation, and to comply with US legal requirements relating to charities and finance
